Full-time Clinic Manager

Kirkton Veterinary Professional Corporation, is comprised of a group of veterinarians, technicians, and support staff who work with clients to continually improve the health and welfare of their small and large animal companions.

With three locations: Kirkton Veterinary Clinic, St. Marys Veterinary Clinic and Perth Veterinary Services, the busy practices are currently seeking two Office Manager’s to join their growing teams at the St. Marys Veterinary Clinic and Perth Veterinary Services.  These positions are newly created with the intention of continuing to grow a progressive practice.

Reporting to the management team, the Office Manager is responsible for business oversight of the practice with emphasis on leadership and supervision of staff, maintenance of clinic financial records, as well as working to ensure a positive work environment. This position is full-time with flexible hours Monday to Friday during clinic operation between the hours of 7:30 am – 6:30 pm.

What You’ll Be Doing:

  • Collaborates with the management team and other site clinic managers to standardize operations, practices and procedures across all clinics;
  • Assists with and conducts hiring and onboarding of staff;
  • Supervises and leads staff;
  • Promotes a client-centered environment that responds to client needs;
  • Facilitates resolution of client complaints and issues;
  • Maintains a respectful and collaborative work environment;
  • Communicates objectives, motivates staff, and exemplifies our core values and standards;
  • Maintains inventory and associated control system;
  • Manages clinic systems and software;
  • Implements health and safety processes;
  • Plans and organizes scheduling of all personnel;
  • Maintains clinic policies & procedures and documents including the employee handbook;
  • Maintains personnel files and records;
  • Supervises employees and in collaboration with the management team, manages employee performance including performance planning and reviews;
  • Provides opportunities for ongoing training and professional development;
  • Addresses and resolves staff issues.
  • Maintains inventory of clinic materials and products for retail sales;
  • Ensures that clinic facilities and equipment are in proper working order and up to professional standards.
  • With the support of a Business Manager, completes bookkeeping tasks including processing of bi-weekly payroll, organizing AP entries, corresponding with vendors and preparing monthly financial reports and required government remittances.
  • Other duties as assigned.

 What We Are Looking For:

  • Post-secondary training in a related field considered an asset;
  • Experience in a role with oversight of day to day office operations and direct management of staff, with the ability to apply previous operational experience to KVC;
  • Supervisory and leadership experience;
  • Exposure to Sage Simply Accounting and QuickBooks software considered an asset;
  • Strong computer skills;
  • Ability to work with multiple stakeholders and implement a strategic direction;
  • Ability to maintain confidentiality and discretion and exercise sound business judgment;
  • Ability to work effectively in a team environment, as well as independently;
  • Familiarity with applicable employment legislation including, Accessibility for Ontarians with Disability Act (AODA), Employment Standards Act (ESA), Occupational Health and Safety Act (OHSA), Ontario Human Rights, WSIB and other applicable legislation, considered an asset;
  • Proficient computer skills related to office management.
